Board Meeting Minutes from 19 June 2023

(On-Site Meeting at 1678 Victoria Way-Jeanne Yazinski’s House)

Board Member Attendees: Jeanne Yazinski (President), Tera Pauley (Vice President)-By Phone, Mike Pastor (Secretary), Heather Peery (Community Oversight Committee Chairperson), Matt Gillis.

Board Members Absent: Dexter Blois (Treasurer), Martin Isales

Resident Attendees: None

The meeting was called to order at 6:59 PM.  This meeting was audio recorded by Mike to aid minutes preparation.

Secretary’s Report

        May 1, 2023, Board Meeting Minutes were e-mailed to board members on Sunday, 06/18/2023.  Mike made a motion to accept, and Heather seconded the motion.  It was approved unanimously.

Treasurer’s Report

        Although Dexter was not in attendance, he prepared the following for the meeting:

Account Balances as of 05/31/2023 were:  Checking:   $18,051   

Savings:   $13,534

Fidelity (1-yr CD):   $30,176 

Per Revised e-mail from Dexter on 6/3/23   Fidelity (1-yr CD):   $30,296
 

The repair to the irrigation system is complete: cost @$2,000.  In addition to $2,412 already spent on repairs, that budget line is in deficit $2,912.

Additionally, the power washing of the sidewalks pushed that budget line into deficit by $1,580.

As of May 31, 5/12 (42%) of the year gone, we have spent 67% of the budget.

We need to watch expenses carefully.  While we may have to reach into savings, it must be kept to a minimum.

Dexter emailed the formal Financial Report as of May 29, 2023, on 5/29/23, and a revised statement on 06/02/23 to include the H.O.A.’s share of the County Grant Pond Aeration project, re-categorized invoice payment and balance in Fidelity CD.

Mike made a motion to accept the Treasurer’s Report and Jeanne seconded the motion.  It was approved unanimously.

Community Oversight Committee – Heather Peery

YARD OF THE MONTH – Went to 1673 Victoria Wy (The Miller’s).

ARB REQUESTS RECEIVED/APPROVED:

1536 Cashiers Dr – Tree Removal

VIOLATIONS:

1569 Victoria Wy – Fence Disrepair (2nd Notice).

1504 Cashiers Dr – Leaves built up on roof (Work In Progress, 3rd Warning  previously issued).
1622 Victoria Wy – Flower bed clean up.
1600 Malcolm Pt – Trash cans out.

1551 Victoria Wy – Vines on Pool Screen, Leaves on Roof, Landscape Bed Clean Up.

MULCH COMMON AREA – Since this has not actually been incurred and due to the excess irrigation repair expenses, we are now considering delaying the new mulch until 2024 to defer this $500 expenditure.

IRRIGATION – Major leak under entry area sidewalk possible caused by tree root damage.  Need to get the sidewalk repaired now.

The next H.O.A. Board Meeting will be held on August  7th 14th (changed due to a conflict), 2023 at 7:00 PM, at Jeanne’s house at 1678 Victoria Way.

We will begin discussion of dues for 2024, a possible neighborhood yard sale and other topics.

Adjournment – Mike moved we adjourn, Jeanne seconded it. All Board Members agreed.  The meeting adjourned at 7:12 PM.
