Minutes

Meeting scheduled to begin at 6:30 PM and was called to order at 6:33 PM.

Board Member Attendees: Sandra, Rick, Jeanne, Lori, Mike, Donna

Board Members Absent: None

Resident Attendees: Sue and Dexter, Jack

Minutes of last meetings (October) - Mike

Donna moved to approve the minutes, Mike seconded and it was unanimously approved to accept and approve the minutes

Treasurer's Report - Jeanne

Jeanne provided a 2-page year to date Profit and Loss Budget Overview report for 01/01/2016 through 12/07/2016 that showed we are under budget on expenses by $2,371.41 and we are under budget for income by $4,381.75. which included an expected $4,491 increase in reserves that did not materialize. We've paid $3,100 of the $6,000 budgeted for attorney's fees, but $254 over budget for landscape/lawn maintenance these are example of adjustments we need to make to the 2017 budget.

 Checking Account Balance      $5,559.23

 Savings Account Balance       $36,442.79

Discussion included the need to finalize the budget for 2017 and that we needed to call a special meeting to discuss and finalize the budget. It was agreed that we would meet next Tuesday, November 15th at 6:30 PM at Sandra's (1630 Victoria Way).

Approval of the Treasurer's Report was moved by Mike and 2nd by Rick and was approved by a unanimous vote.

Landscape Report -- was deferred to New Business

Old Business

  1. CC&R Violations
    1. Flansburg rental issue: mediation is complete and the details are confidential. In summary, the tenants will be allowed to stay until 07/31/2017 when their current lease ends. She agreed to reimburse the H.O.A. $1,000 of our legal expenses and will do so by 01/15/2017.
  2. Other landscape warnings  discussion was held regarding a few homeowners regarding the need to maintain their property to the standards maintained by the majority.

New Business

  1. Landscape service providers. We agreed to issue a 30-Day notice to terminate the current service provider.
  2. New Year H.O.A Dues -- It was discussed that we needed to finalize the budget so we could mail the annual dues payment renewal notices/invoices generated and mailed out.
  3. Luminaries -- supplies are needed-we discussed the fact that the funds are already budgeted so additional authorization to spend that money is not needed. Sandra will order the items needed. The date will be Saturday, December 17th.
